What we collect

Everything below comes from what you type into the quote builder — we don't buy data or collect it from anywhere else.

Please don't put health information or other sensitive personal details in the free-text notes — we don't need it and we'd rather not hold it.

Our lawful basis

Under UK GDPR we rely on:

• Steps before a contract — producing the quote you asked for. This is our main basis for everything on this site.
• Performing a contract — manufacturing, invoicing and delivering, if you go ahead.
• Legal obligation — keeping accounting and tax records.

The box you tick when submitting confirms you've read this policy. We don't rely on consent as our lawful basis for quoting — we rely on the steps needed to enter a contract with you — so you don't need to worry that withdrawing consent would leave us holding your data without justification. If you'd rather we didn't hold it at all, ask us to delete it and we will, unless we're legally required to keep it.

You need to give us the details marked required in order to get a quote — without them we can't price the job or send it to you. Everything else is optional.

If you give us someone else's details

Quotes can include delivery addresses for other people — a distributor, a PR company, or fans on a mailing list. If you give us someone else's name and address, please make sure you're allowed to share it with us, and let them know we'll hold it purely to get their parcel to them.

We use those details only for delivery. We don't market to them, we don't add them to any list, and they're deleted on the same timetable as the rest of the quote. If you're one of those recipients and you'd like to know what we hold, email us and we'll tell you.

Cookies

This site sets only two cookies, both strictly necessary, so you aren't asked to accept them. There is no analytics, advertising or tracking of any kind here, and nothing is shared with advertisers.

Who else sees your data

We use a small number of suppliers to run the business. They process your data on our instructions only, under contract, and cannot use it for their own purposes.

Your quote is stored in the Netherlands. The Netherlands and New Zealand are both covered by UK adequacy regulations, meaning the government has decided they protect personal data to a standard equivalent to the UK's, so no extra safeguard is needed. For our US suppliers we rely on an approved transfer mechanism — the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement. Email us if you'd like a copy of the safeguards for any of these transfers.

We never sell your data, and we don't share it with anyone else except where the law requires it.

How long we keep it

We keep quote and order records for 6 years, measured from the last time the record changed — your last edit, our last update to it, or the final invoice, whichever came latest. After that they're deleted automatically. That period matches how long UK company law requires us to keep the records behind our accounts. If a quote never turned into an order, you're welcome to ask us to delete it sooner and we will.

What we don't do

• No automated decisions about you. The configurator calculates prices automatically, but nothing about you is decided by a machine in a way that has legal or similarly significant effects, and we don't profile you.
• No marketing without asking. We use your details to deal with your quote and your order. We won't add you to a mailing list or send you promotions unless you've asked us to, and you can opt out at any time.
• No selling or sharing. We never sell your data or pass it to anyone beyond the suppliers listed above, except where the law requires it.

Keeping it safe

Your quote is sent over an encrypted connection and stored on access-controlled systems. Staff accounts on our admin system require two-factor authentication. The link we email you for editing your quote is uniquely signed and expires after 90 days, so an old email doesn't stay a way in.

Your rights

You can ask us to:

• give you a copy of the data we hold about you;
• correct anything that's wrong;
• delete it, where we're not required to keep it;
• restrict or object to how we use it;
• send it to another provider in a portable format;
• withdraw your consent.

Email sales@pressonvinyl.com and we'll respond within one month. There's no charge.

If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.

Changes

If we change this policy we'll update the date at the top. Material changes affecting how we use data you've already given us will be emailed to you.
